FCI Revcare is committed to assisting hospitals and their patients in navigating the complexities of local and federal programs. Their team specializes in helping patients and their families understand eligibility and the application process for benefits and entitlements, enabling them to focus on what matters most their recovery.
Problem Statement
One of Revcare's hospital partners, Cleveland Clinic, required a HIPAA-compliant form for attorneys to request itemized billing data for their clients. At the time their internal systems were being overwhelmed by these types of requests. The form needed to adhere to strict HIPAA guidelines to securely intake patient data, transfer it, and store it within their database. The data also had to be delivered in CSV file format for the internal systems to read. The plan was for the Revcare team to process the patient information and deliver it to the attorneys.
Research
I consulted with the hospital system to understand the types of data required to identify patients and created a comprehensive list of necessary fields. The primary criteria for the form platform were HIPAA compliance and compatibility with Revcare’s internal database software. I conducted thorough research and met with several form providers and their engineering teams to evaluate the solutions.
Phase 1: Form Creation and Data Transfer
I created the above workflow to demonstrate the user process and how the data transfer would function. Using specifications provided by the Cleveland Clinic, I developed a version of the form for testing. Leveraging webhooks and integrations with PowerAutomate, I ensured the secure transfer of files and patient data from the form to Revcare's database. Once the client approved the initial version, we launched the form directly on the Cleveland Clinic website.
Phase 2: API and Automated features
I continued to refine the form based on client feedback, implementing enhancements to improve usability and functionality. Leveraging FormStack's API, I added key features such as automated submission deletion and notifications, significantly improving accuracy and efficiency.
Conclusion
The project successfully delivered a HIPAA-compliant form solution that met all of Revcare and Cleveland Clinic's requirements. The secure intake and data transfer process not only adhered to regulatory standards but also streamlined the billing request process.
